Non-refundable tickets, tours, hotels or other reservations should not be purchased until all visas and passports are secured and in your possession. HOTVISA shall in no way be liable to you in the event that the services it provides are not suitable for your particular purpose, even if HOTVISA is aware of such purpose.
Prior to placing an order, you should ensure that you have reviewed these Terms and Conditions and that they are acceptable to you. By sending your order to HOTVISA, you unconditionally accept the below terms and conditions, including but not limited to that HOTVISA is not liable for any action or inaction of any government authority and that HOTVISA liability is limited strictly as set forth below.
Whilst we endeavor to ensure that all advice given by our consultants is up to date, correct and concise, please understand that the information we provide is for guidance purposes only and as a middle agent between applicant and embassy/consulate/government agency, HOTVISA cannot guarantee the certainty of the information. Our response to visa requirement enquires, and a particular email document checking is a free service that our consultants provide to the best of their abilities to assist Customer. Meeting the specified requirements for applications is the sole responsibility of the applicant/Customer. Due to the inability to fully guarantee supplied information, the information services provided by HOTVISA are free of charge and not part of our advertised service charges unless otherwise agreed to. Document checking services do NOT guarantee the documents are correct; these merely act as a helpful guide/pre-check.
HOTVISA acts only as an expediting agent, and only Embassy/Consular/ government officials or other U.S. government officials make the final determination when deciding how fast a visa, parol or other documents will be issued and for what period of time (validity) visas/documents can be issued. HOTVISA is not and shall not be responsible for the actions and inactions of Embassies, Consulates, and Government Agencies. These agencies reserve the right to prioritize the processing according to the departure date provided by the applicant, any required additional paperwork, or request to appear in person. This does not happen often, but please be aware that delays can occur on occasion. They’re out of our control and HOTVISA is not responsible for any delays in your travel in such cases. Embassy/consulate officials also have the right to ask for additional documentation in order to issue a visa.
Processing time for documents, visas and passports quoted by HOTVISA are estimates based on our experience with foreign Embassies, Consulates and Government Agencies in usual circumstances, and are reliable in most cases but are not guaranteed. HOTVISA is not and shall not be responsible for slower/faster processing times.
You’re required to provide payment information for all services. All consular/government fees are non-refundable once service processing has begun. In the case where a visa or passport application has been canceled or rejected, the service fee will be non-refundable. In case a mistake is made on our part in dates/names, please notify us within 3 business days after receipt of your visa/passport for necessary corrections to be made.

THIS AGREEMENT is between HOTVISA and you, our Customer by requesting any service to HOTVISA.
Parties and Scope
These are the terms and conditions (“Terms”) that govern the relationship between you, our customer (referred to as “you” in these terms) and KETIKO LLC, Tax ID XXXXXXX (“HOTVISA”) for the provision of service by HOTVISA. If you are a consumer within the meaning of any local or federal law (“Consumer”), then additional rights may be available to you and will be specified in this document. If you are not a Consumer, you hereby confirm that you have the authority to bind any business on whose behalf you seek to purchase services. Other general terms and conditions do not apply and do not form part of the contract between us, even if we do not explicitly reject them. These Terms are subject to change without prior notice, except that the Terms in force at the time you place or modify an order will govern the order in question. For the avoidance of doubt, mere viewing of the Website is subject to the Terms of Website Use, while engaging in the use of our services in any manner whatsoever, including but not limited to, submission of visa enquiries, each customer is subject to both the Terms of Website Use and these Terms of Service.
In this agreement Embassies, Consulate, US Passport Agency, Department of State, Secretary of State, Government Agencies, Consulate/ Embassies Third Parties will be referred to as “Issuing Authority” or “Issuing Authorities” (in case of multiple agencies being referred).
The primary services provided by HOTVISA are to help you in obtaining travel visas, passports, and other travel documentation. We describe documents and forms you generally need to provide to achieve these aims and then submit these documents and forms duly completed by you, to the authorities or appropriate bodies. For the avoidance of doubt, if we provide services to you, you are our customer and these Terms apply. If we refer you to any other service provider, you take responsibility for reviewing any services provided and that service provider’s terms and conditions will apply for their services. We do not accept any liability for third party services and these Terms will not apply to those third party services.
These Terms apply to any offer and any agreement between you and HOTVISA and to the provision of any service provided to you by or on behalf of HOTVISA in respect of, but not limited to, the processing of visas, passports and/or documents for you or on your behalf.

Order Processing Conditions
The following conditions apply to orders of visa, passport and document services made by you to HOTVISA.
1. Procedure
HOTVISA will endeavor to provide you with accurate information and to ensure that you obtain the visa/document for your trip for the date required in a timely manner. Nevertheless, all requirements to obtain the visa/document (including, but not limited to, documentation, fees and time frames) are calculated based on general criteria and can vary according to information provided by you (including, but not limited to, current or previous nationality, residence, gender, age, profession, recent travel, and religion). Each country’s requirements for passports, documents and visas, and related information are established by sovereign nations and are subject to change without notice. While HOTVISA strives to provide current and complete information, HOTVISA cannot and does not guarantee that the information supplied is the most current and complete. HOTVISA is not and shall not be responsible for such information.
On placing an order, you shall agree to pay a non-refundable government/consulate processing fee. You agree that your credit card(s) will be billed and check(s)/money order(s) will be deposited. You agree to pay for our Service Fee plus all applicable taxes and return shipping charges relating to the purchase of any visa, passport, or other products or services. Requirements and fees related to the processing of passports, documents, and visas are subject to change without notice. Changes may include but are not limited to, changes in embassy consular fees, government fees, processing procedures, application forms, and documentation required for visa/passport/document issuance. HOTVISA is not responsible for such changes or for any loss or delay relating to such changes.
All times indicated in writing or electronically for any handling or processing are based upon the opening days of the “Issuing Authorities” and HOTVISA and should be construed as working days or weeks, excluding any or all public holidays associated with those “Issuing Authorities” and HOTVISA office. Processing times start counting after HOTVISA submits the documentation to the “Issuing Authority”.
2. Submission of Documentation
You can request the list of requirements to be met in order to process your visa, document to one of our agents. HOTVISA will only process the service(s) indicated in your request; HOTVISA assumes no responsibility for other visas, documents required for your trip that have not been requested or which relate to stops on your trip.
By submitting one or more requests to HOTVISA, you accept these Terms. Upon receipt of your documentation your request(s) will be validated and HOTVISA shall commence the procedure(s) to obtain the visa(s), document(s). HOTVISA reserves the right to refuse, in its total discretion, to handle any application at any time and no reason need be given.
HOTVISA reserves the right to decline processing of documents for any reason, including but not limited to incomplete documentation, insufficient processing time, degree of difficulty in procuring documents due to purpose of travel, or unusual circumstance, all as interpreted in HOTVISA sole and absolute discretion.
3. Cancellations/Refunds
You may normally cancel your order for any reason up to the point of your passport and supporting documents being dispatched to the “Issuing Authority”. Miscellaneous charges may still apply upon cancellation, including HOTVISA processing charges up to the point of cancellation or courier charges for the return of your passport and supporting documents. You must provide a pre-paid label to return any documents or you will be billed for the return shipment. However regardless of your desire to or timing of cancellation, no “Issuing Authorities” fees, courier fees, shipping charges or any portion thereof will be refunded after the documents have been received and the application process has begun.
4. Visas
When HOTVISA returns your passport and documents to you, it is important that you confirm that all of the visas you need for your travel have been obtained, that the visas for each country you intend to visit are valid for the dates of arrival and departure from the country/region of your visit and for the purpose and nature of your visit (including, but not limited to, tourism, business, work and/or study). You must notify HOTVISA immediately by email if you identify any discrepancy in your documentation.
We do everything possible to ensure that the visa is issued correctly, but we have no control over the “Issuing Authorities”’ decision on the type or length of visa issued, nor does HOTVISA guarantee that the “Issuing Authority” will issue the visa in a timely manner and within the specified time frame. The issue of a visa depends exclusively on the “Issuing Authority”. Immigration officials in each country have the final decision to admit entry into the country or region, even when all of the stipulated requirements have been met, and such decision is often subject to external information the “Issuing Authority” may receive. In the case of dispute we will use our best endeavors to rectify the situation with the relevant “Issuing Authority”, however if the dispute is through no fault of HOTVISA then charges may be incurred, and HOTVISA fees will be collected for the completion of procedures required for this issue.
5. Delivery
HOTVISA uses FedEx, or commercial airline Cargo (or other courier services including but not limited to DHL, UPS, and the U.S. Postal Service) services for all its shipping needs unless instructed otherwise and are subject to the conditions set by these companies. HOTVISA is not responsible for any damage or loss that occurs while the product is in Customer’s possession or in transit. HOTVISA strongly encourages its Customers to use shipping services that provide real-time tracking of packages in transit. HOTVISA is not responsible for any failures or mistakes by shipping companies to deliver, deliver on time, track, locate, and keep safe, any and all packages. HOTVISA cannot and does not warrant any claims or guarantees made by shipping companies as to the quality of service, timely delivery, availability of service, and other claims.
Passports and documents are normally dispatched back to Customers the next day or the same day they are collected from the embassy and the normal delivery method by FedEx Overnight shall be used, unless some other method is specified by the Customer on the order form. Documents are also sent overseas by approved courier.
All delivery charges (or “A FedEx/ Shipping charge”) will be added to your order. All third party delivery companies are subject to the conditions set by these individual companies. HOTVISA accepts no liability for loss or delays incurred when using these third party delivery companies mentioned above.
6. Fees
Once HOTVISA files your application to an issuing authority on your behalf, HOTVISA service fees are non-refundable.
The fee which shall be payable by the Customer in respect of the services provided by HOTVISA is exclusive of any “Issuing Authorities” charges whatsoever. Such “Issuing Authorities” charges as may be made will be the absolute liability of the Customer who must make payment in respect of those charges. HOTVISA reserves the right to raise its charges at any time with or without prior notice.
Consular fees and availability of services are subject to change without notice. Fees and services may differ between the time the order is placed and when the ordered is completed. HOTVISA will endeavor to communicate said changes to the Customer where possible. HOTVISA reserves the right to select the most appropriate service available given the time constraints, as indicated by the Customer.
All fees paid to an “Issuing Authority” by HOTVISA on your behalf are non-refundable. In the event that a visa, document or passport application is submitted on your behalf and the request is rejected for any reason, HOTVISA will, at your request, make one additional attempt to secure the travel document. You will be required to pay any additional fees assessed by the “Issuing Authority”. If the dispute is through no fault of HOTVISA then charges may be incurred, and HOTVISA fees will be collected for the completion of procedures required for this issue.
If, however, any embassy charges are refundable in case of a visa denial and refusal – they will be returned – but HOTVISA handing and service charges will not be refunded in any case.
HOTVISA reserves the right to retain passports and documents until full payment is received. HOTVISA service fees may vary according to the number of business processing days available to procure the service. Consulate closings and holidays are excluded for the purpose of counting the number of business days. It is advisable for Customers requiring their passports, documents back with urgency to pay via credit or debit card, as this is a quicker form of payment and will ensure prompt return of their passports, documents. All Customers paying via check should be aware that passports, documents may only be returned once their check payment has cleared in our account.
Where an Online Visa has been requested, the fee paid for HOTVISA Services includes the processing of the Online visa only and does not include the Visa Fee, any appeals or additional services. The cost of the Online Application Service is non-refundable and should your application be refused, you will not be issued a refund.
Once the application has been submitted to the appropriate “Issuing Authority” HOTVISA full fees will apply.
HOTVISA may offer corporate, business accounts to approved customers, subject to negotiation on payment and rates. Corporate/business account payment terms shall be established as part of a separate written agreement with each approved Customer.
Except where Customer disputes any invoice (in whole or in part), and provided that Customer does not have a corporate/business account established with HOTVISA, each invoice shall be paid by the Customer within 30 days of receipt.
HOTVISA will make attempts to collect the payment from the Customer. But if the payment is not received according to this Terms and Conditions, the Invoice (s) will be send to Collection. If an invoice is sent to Collection, a 30% fee shall be added to the invoice for International Collections and a 20% fee shall be added to the invoice for Domestic USA Collection. Any applicable Collection Fees shall be added to all Customers accounts, including corporate/business accounts.
7. No Liability in Credit Card or Debit Card Transactions
HOTVISA makes all reasonable efforts to ensure that all credit card and debit card transactions are secure. HOWEVER, if unauthorized charges appear on your credit card or debit card statement for any card used at any time during or after you place your order, conduct your transaction or disclose your card details to HOTVISA, HOTVISA shall not be liable or responsible in any way in respect of any damage or loss of whatsoever nature suffered by you arising from or in any way connected with site use, transaction or disclosure, subject only to any statutory rights which you may have.
8. Disclaimers and Warnings
The “Issuing Authority” will make the final determination as to the type of document, visa or passport, how quickly it will be issued and for what duration it will be issued. Prior to approval, the “Issuing Authority” may ask for additional documentation, and may reject any visa, passport or other travel document application for any reason and may not provide a reason to HOTVISA for the rejection. HOTVISA does not issue visas, documents or passports and therefore, cannot make any guarantee or assurances that any “Issuing Authority” will issue any document. “Issuing Authorities” may choose to grant a different type of travel document than that which the applicant has requested which may impact the purpose, validity or number of entries.
HOTVISA will use its best endeavors to process applications for visas, passports and/or documents at the Customer’s request. However, HOTVISA shall not be held responsible for, nor will accept any liability for, the actions of any consulate, embassy, government agency or passport office in delaying or not issuing such applications for any reason whatsoever. In addition, HOTVISA shall not be held responsible for expense and/or delay arising from or in connection with: (a) incomplete application forms or (b) incorrectly or falsely completed application forms or (c) inaccurate or incomplete supporting documentation. Any expense or cost incurred by the Customer due to these delays or non-issuances shall not be the responsibility of, nor shall any charges be levied upon HOTVISA.
HOTVISA provides visa, documents (Apostille, Consular Legalization, etc.) and passport information in good faith and on the express understanding that the said information is the interpretation of any or all information provided by respective “Issuing Authorities” offices at any or all times and HOTVISA shall not accept responsibility or liability whatsoever for any errors and/or omissions in the information.
HOTVISA will endeavor, wherever possible, to process your visa, passport and/or document based on the instructions given and application forms submitted, however, when HOTVISA returns your passport and documents, it is your express responsibility to verify that all the visas you require for your trip have been obtained, that the visas for each country you intend to visit are valid for the entry and exit dates of your visit, that your personal details are reflected accurately, and that your passport is valid for at least six (6) months beyond the completion of your trip. Please note that even when a visa is issued, a traveler may be denied entry since in each country the local immigration officials make the final entry decision. HOTVISA recommends all travelers secure a visa prior to departure and do not attempt to obtain one “on arrival.”
No Liability and limitation of Liability
Should a passport, document or other item be lost, misplaced, damaged, delayed or destroyed, the costs of replacing same and/or any consequential loss shall be borne by the Customer and any contribution to the costs by HOTVISA shall be entirely at the discretion of the management at HOTVISA. HOTVISA shall only be liable if HOTVISA is at fault and HOTVISA liability shall be limited to the actual cost of replacement cost of the passport, document not to exceed $250.00. HOTVISA reserves the right in all instances to substitute replacement of the documents that had been in HOTVISA care and control in lieu of payment. HOTVISA is not responsible for items misplaced, damaged, delayed or destroyed by a delivery, shipping service or “Issuing Authority”. Passport covers and other all documents including, but not limited to, original bank statements and educational and birth certificates, which were not requested for submission by HOTVISA, should be retained by the applicant. HOTVISA accepts no responsibility for the loss or damage of such documents.
HOTVISA accepts no liability for travelers electing to obtain on-arrival visas.
To the maximum extent permitted by law, HOTVISA excludes and/or limits any direct, indirect or consequential damages, costs or expenses and all statutory or implied conditions and warranties, including, without limitation, lost income or profits or travel or holiday costs or any loss arising from information obtained from the Website or our services. Subject to the other provisions of this section, our maximum liability for loss caused to you, whether under contract, tort, or otherwise, shall be limited to the losses and damages up to a maximum of $250 for which HOTVISA is directly responsible and which can be wholly attributable to incorrect provision of service by HOTVISA.
HOTVISA will not be responsible in any respect or for any amount for loss or delay caused by events that we cannot or do not control, including but not limited to acts of God, weather conditions, acts of public enemies, war, strikes, civil commotions, or acts or omissions of public authorities (including passport, government and embassy consular officials).
Nothing in this agreement excludes and/or limits our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any other matter for which it would be illegal for us to exclude or attempt to exclude our liability.
Claims Period
You have thirty (30) days after completion of work by HOTVISA, beginning from the date of delivery of the visa/ document (or if not delivered, from the date of order) to inform HOTVISA of any claim related to HOTVISA services. Once the relevant deadline has passed, any rights for rectification or compensation shall expire.
Indemnity
You agree to indemnify and hold HOTVISA, its subsidiaries, affiliates, managers, members, officers, agents and other partners and employees, harmless from any loss, liability, claim or demand, including reasonable attorney’s fees, made by any third party due to or arising out of your use of the website or HOTVISA services.
Waiver
HOTVISA failure to enforce at any time or for any period any one or more of the Terms shall not be a waiver of them or the rights attaching to any of them.
Headings
The headings used in these Terms are for convenience only and shall not affect the meaning or scope of these Terms or otherwise be given other legal effect.
Modifications of these Terms and Conditions
HOTVISA reserves the right to change these Terms as well as the contents of this website for any reason and without notice, and without liability to you, any other user or any third party. This right shall not affect the Terms accepted by you upon making a legitimate reservation or purchase using this website and our services. You should check these Terms for any changes each time you access the website.
General Terms and Conditions
These Terms and your use of this website and our services are governed by the laws of the United States of America and the State of Texas.
The services are to be performed, and/or are deemed to be performed, in the State of Delaware, and any dispute arising under or relating to the use of the website or our services (whether in contract, tort, or both) shall be resolved in the courts located within the state of Delaware. You hereby consent to submit to the exclusive personal jurisdiction of the courts within the State of Delaware for all disputes arising out of or relating to the use of this website and/or the action or inaction of HOTVISA in the performance services, each time you access the website or use such services. Use of this website is unauthorized in any jurisdiction that does not give effect to all provisions of these terms including without limitation this paragraph.
You agree that no joint venture, partnership, employment, or agency relationship exists between you and HOTVISA as a result of these Terms or your use of this website. HOTVISA performance of these Terms is subject to existing laws and legal process and nothing contained in this agreement is in derogation of HOTVISA right to comply with law enforcement requests or requirements relating to your use of this website or information provided to or gathered by HOTVISA with respect to such use.
If any part of these Terms is determined to be invalid or unenforceable, including but not limited to the warranty disclaimers and liability limitations set forth above, then the invalid or unenforceable provision will be deemed superseded by a valid, enforceable provision that most closely matches the intent of the original provision and the remainder of these Terms shall continue in effect.
Where HOTVISA is unable to carry out any obligation under the contract due to any circumstance, matter or thing beyond its reasonable control (“force majeure”) HOTVISA shall be excused from such obligations to the extent of such prevention, restriction or interference so caused.
HOTVISA may sub-contract all or part of its obligations or assign all or part of its rights under this contract. This agreement does not create any right enforceable by a person who is not a party to it, except for any lawful successor or assignee.
These Terms constitute the entire agreement between you and HOTVISA with respect to this website and HOTVISA services supersede all prior or contemporaneous communications and proposals, whether electronic, oral or written, between you and HOTVISA with respect to our website and services.
Although HOTVISA cannot monitor the conduct of its user’s offsite, it is a violation of these Terms to use any information obtained from this HOTVISA’s agents or our website in order to harass, abuse, or harm other persons, or in order to contact, advertise to, solicit or sell to any user or person without their prior express consent.
